We are seeking a friendly and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. This role is essential in maintaining a welcoming environment and ensuring smooth office operations.

Duties

Greet and welcome visitors in a professional manner, ensuring a positive first impression.
Answer incoming calls using phone systems, directing calls to appropriate personnel or taking messages as necessary.
Manage office calendars, scheduling appointments and coordinating meetings efficiently.
Perform clerical duties including filing, data entry, and maintaining organized records.
Assist with proofreading documents to ensure accuracy and professionalism in all communications.
Provide support as a personal assistant to management when required.
Utilize computer skills to manage office software and maintain electronic files.
Communicate effectively with both English-speaking and Spanish-speaking clients, enhancing service accessibility.

Skills

Proficiency in office software applications (e.g., Microsoft Office Suite).
Strong organizational skills with attention to detail for effective calendar management and filing systems.
Excellent verbal and written communication skills, including proofreading capabilities.
Experience with phone systems and handling multi-line phones is preferred.
Ability to work independently while also being a collaborative team player.
Bilingual in Spanish is a plus, enhancing communication with diverse clientele.
