Duties
- Greet and welcome visitors in a professional manner, ensuring a positive first impression.
- Answer incoming calls using phone systems, directing calls to appropriate personnel or taking messages as necessary.
- Manage office calendars, scheduling appointments and coordinating meetings efficiently.
- Perform clerical duties including filing, data entry, and maintaining organized records.
- Assist with proofreading documents to ensure accuracy and professionalism in all communications.
- Provide support as a personal assistant to management when required.
- Utilize computer skills to manage office software and maintain electronic files.
- Communicate effectively with both English-speaking and Spanish-speaking clients, enhancing service accessibility.
Skills
- Proficiency in office software applications (e.g., Microsoft Office Suite).
- Strong organizational skills with attention to detail for effective calendar management and filing systems.
- Excellent verbal and written communication skills, including proofreading capabilities.
- Experience with phone systems and handling multi-line phones is preferred.
- Ability to work independently while also being a collaborative team player.
- Bilingual in Spanish is a plus, enhancing communication with diverse clientele.
